Few decisions have a greater impact on the stability and prosperity of a business than adequate tool selection. Tools govern everything, from workflow efficiency through growth potential to cyber resilience and customer satisfaction.

Mistakes during tool selection are common. Luckily, they’re also easy to avoid if you know what to look for. This article covers four such mistakes and provides tips on tool vetting that will help you choose a good fit more quickly and with confidence.

Poor workflow fit

It’s normal and expected for vendors to present their tools in the best possible light. They’ll focus on a breadth of features and may demo scenarios where the tool performs flawlessly. The problem is that reality is messier than this; Exceptions and edge cases are common enough that a competent tool should be flexible enough to account for them.

If it’s not, adoption and productivity both suffer. Employees are stuck between transitioning to the new tool and using parts of their old workflow to handle the exceptions it can’t address. Meanwhile, management doesn’t get the data it needs to make informed decisions since the tool isn’t being used optimally.

Scalability issues

Not paying attention to scalability from the get-go sets annoyances small teams can gloss over to become issues larger ones aren’t equipped to deal with over time.

Early adoption tends to go smoothly since small, experienced teams approach it more enthusiastically. Onboarding is straightforward, costs are low, and the tool delivers actionable metrics.

However, all of this may change with growth. New team members may lack the technical skills or specialized knowledge that were easier to develop and share in small groups. Reasonably small-scale data or per-seat costs may balloon as usage increases. Or, reporting becomes so convoluted that team members waste time on making the data presentable for higher-ups who aren’t directly involved.

Implementing opaque AI tools

Teams are under tremendous pressure, both from overzealous management and industry trends, to adopt an AI agent for better workflows. Doing so uncritically introduces various problems, the roots of which can usually be found in the tools’ black box operating models.

An AI tool whose outputs and decision-making processes can’t be explained or audited is a liability. Without such safeguards, distinguishing between verified human outputs and AI-generated results becomes more difficult. Since there are no insights into what data AI tools handle and how, the potential for legal and security risks skyrockets.

Dismissing security concerns

Not cluing IT and ops in from the start when choosing new tools can have far-reaching security considerations. For example, a new CRM might not employ the best possible encryption to store customer data, or a business communication tool might lack secure file transfer. Even security tools themselves, like VPNs, could become problematic if they log data despite claiming otherwise or use servers they don’t fully control. That’s why choosing a reliable VPN type or any other cybersecurity tool is a must.

Security steadily erodes in such environments over time. Temporary permissions linger, and low-level employees are given broader access than warranted. Worse yet, it isn’t clear what sensitive data is stored and where, or if said data is exposed.

How to select business tools appropriately

Choosing the right tools comes down to proving their real-world viability. Here’s a vetting process you can use to shortlist tools in any category to that end.

  • Assemble a competent vetting team – Tool choices shouldn’t be made by management alone. You also need to involve users with extensive knowledge of current tools who’ll be impacted the most, as well as IT, from the start.
  • Assess current workflow idiosyncrasies – Focus on the irregularities and exceptions the new tool should be able to deal with. Insist that demos account for past real-life scenarios you’ve experienced, not just ideal showcase conditions.
  • Insist on governance and transparency – Especially relevant for AI tools. Determine whether and how usage is logged and audited. Also, ask for explanations on how misuse or biases are exposed and handled.
  • Assess security standards – Find out how the tool handles secure access, and whether it’s easy for knowledgeable users to bypass safeguards.
  • Define successful usage – Create metrics that will signal the tool’s successful adoption once fulfilled. This also goes for failure conditions. Agree on a reasonable review window and plan for a potential exit to avoid vendor lock-in in case the tool doesn’t meet your standards.
